Giving Your Agent Context & Setting User Preferences

To unlock the full potential of the FynchAI system and your agent, it's crucial to provide it with foundational knowledge about your business from day one. These initial steps train your agent on your brand, preferences, and operational needs, ensuring it works as a true extension of your team.

1. Set Your Foundation: Your "North Star" Documents

Think of this as the agent's core briefing. By defining your Brand Guidelines and Business Overview, you give your agent a permanent frame of reference, ensuring every task it performs is strategically aligned with your goals.

  • What it is: These are two central documents in your Workspace that define your company's identity and objectives.

    • Brand Guidelines: Your brand's voice, tone, key messaging, color palettes, and stylistic rules.

    • Business Overview: Your company's mission, target audience, products/services, and competitive landscape.

  • How to use it: Navigate to the Brand Guidelines and Business Overview sections in your Workspace. You can either fill out the guided templates or upload your existing documents. This is the single most important step to ensure the content and strategy your agent creates sounds authentically like your business.

2. Personalize Your Profile: Agent Preferences & Instructions

This is where you fine-tune how your agent interacts with you. While Brand Guidelines are for the company, your profile settings define your personal working style.

  • What it is: A dedicated section in your user profile to add Custom Instructions. These are specific directives that your agent will remember and apply every time it works on one of your requests.

  • How to use it: Select the "Profile" options from the Workspace menu and "Edit" your profile to add instructions that reflect your preferences.

    For example:

    "For any data analysis, please generate a bar chart to visualize the results."

    "My primary business goal this quarter is lead generation. Please frame all strategic recommendations with this in mind."

    "When creating social media posts, please provide three different image ideas."

For more advanced "voice & tone" control, you can create and save distinct Personas. While Custom Instructions set your personal work style, Personas define a specific writing voice that can be applied on demand to any content or writing request.

3. Manage Your Workspace: Users & Knowledge Base

These admin settings (available only to users with "Admin" permissions) allow you to expand your team and deepen your agent's expertise by adding more sources of information.

  • What it is: The control panel for managing your team and the centralized Knowledge Base (the collection of documents, notes, and even websites) that your agent can reference to stay informed.

  • How to use it:

    • Invite Team Members: In the Admin section, you can easily invite colleagues or clients to the Workspace, allowing them to collaborate on projects and delegate tasks to the agent.

    • Build Your Knowledge Base: As you work, you can save important documents (like market research, approved campaign copy, or product specs) as notes. This builds a searchable, internal library that your agent uses to provide more insightful and context-aware assistance over time. You can also add important URLs (like your company website, blogs, social media profiles, etc.) that will regularly refresh and provide your agent with the most up-to-date context on your business efforts.
